Booking emails - Plugixa Car Rental

The plugin sends three emails, each when a booking changes status:

Email To Sent when
Booking confirmed The customer The booking becomes Confirmed.
New booking Your desk The booking becomes Confirmed.
Booking cancelled The customer The booking becomes Cancelled.

Nothing is sent while a booking is Pending, so a customer who abandons the form before choosing how to pay gets no email. Nothing is sent for Picked up, Returned, Completed, No-show or Expired.

The emails come from the Notifications app. It is on by default and can be switched off in the App manager, which stops all three.

Settings

Open Settings -> Booking emails.

The Booking emails settings with Email customers switched on and an empty Desk email address

“Customers are emailed when a booking is confirmed or cancelled; your desk is emailed for every confirmed booking.”

Option Default Notes
Email customers On Off stops the two customer emails. The desk email is still sent.
Desk email address empty “Leave empty to use the site’s admin email.” An address that is not valid is saved as empty.

The section is saved with the Save button at the top of the screen, together with the other settings.

When a booking is confirmed

A booking is confirmed when the customer chooses an offline payment method such as Pay at pickup, when an online payment PRO is recorded, or when staff confirm it. See Payments and Bookings.

To the customer

The subject is “Your booking ADR-2026-0012 is confirmed”, followed by your site title. The email contains:

  1. “Hello Ana,” (or “Hello,” when the booking has no name).

  2. “Thank you. Your car is reserved for the dates below.”

  3. A summary table:

    Row Content
    Reference The booking reference.
    Vehicle The model.
    Pickup The date, time and timezone, and the location.
    Return The date, time and timezone, and the location.
    Total The total with its currency code, such as EUR 212.40.
    Deposit at pickup Only when the model has a security deposit.
  4. Payment, with the text of the method the customer chose: your What to tell the customer or Bank details and instructions, with {reference} replaced by the booking reference.

  5. A View or cancel your booking link to the customer portal, when the portal is switched on and a page shows it.

To your desk

The subject is “New booking ADR-2026-0012 from Ana Ferreira”. The email reads “A booking has been confirmed.” and has the same summary table, with more for staff:

  • the Vehicle row adds the plate of the car assigned, such as “Toyota Corolla Hybrid · CB-58-RN”;
  • a Customer row with the name, email and phone;
  • one row per custom field the customer answered, under the question’s label, such as Flight number.

The desk email is sent to the Desk email address, or to the site’s admin email when that is empty. It is skipped when neither is a valid address.

When a booking is cancelled

The customer is emailed when a booking is cancelled, whoever cancelled it: the customer from the portal, or staff from the admin. The subject is “Your booking ADR-2026-0012 has been cancelled”, followed by your site title. The email says “Your booking below has been cancelled. If you did not expect this, please contact us.” and has the same summary table.

When the customer cancelled under a cancellation rule that charges a fee, the email adds “A cancellation fee of EUR 50.00 applies under our cancellation policy.” See Customer portal.

The desk is not emailed about cancellations.

How the emails are sent

The emails are HTML and are sent with WordPress’s own mail function, from the address WordPress sends from. If emails do not arrive, the cause is almost always the site’s mail setup: install an SMTP plugin and send a test from it. See Troubleshooting.

Every sentence is translatable, so the emails follow the site’s language and any translation of the plugin.

The wording is not edited on this screen. A developer can change or stop any of the emails with the plugixa_car_rental_email filter, which receives the recipient, subject and body, and the email’s type (customer_confirmed, customer_cancelled or desk_confirmed). Returning an empty recipient stops that email. See Hooks.
