Reports - Plugixa Car Rental
Reports PRO show how the rental business did over a period: what was booked, what was paid, how hard the fleet worked and how many rentals fell through. Everything can be split by vehicle model and by pickup location.
Open it from Plugixa Car Rental, then Reports in the Reports group of the app’s sidebar. If you do not see it, switch on Reports in the App manager.

Choosing the period
The buttons at the top pick a period ending today: Last 7 days, Last 30 days (the default), Last 90 days and Last 12 months. Or set From and To yourself. Both days are included.
A report covers at most 366 days. A longer range is refused with “A report can cover at most 366 days.”
Days are your site’s days, in the timezone set in WordPress under Settings -> General. A rental picked up at 01:00 on a Saturday counts on Saturday, whatever time that is in UTC.
Which bookings count
A booking is placed in the period by its pickup date, not by the day it was made.
| Booking status | Counted as |
|---|---|
| Confirmed, Picked up, Returned, Completed | Business: in bookings, rental days, revenue and utilisation |
| Cancelled, No-show | Lost: only in the cancellation rate |
| Pending, Expired | Not counted anywhere. A pending booking is not business yet. |
The five figures
| Figure | What it is | Underneath |
|---|---|---|
| Revenue | The sum of the totals of the counted bookings picked up in the period. A booking’s total is what the customer is charged, tax and extras included, the security deposit not. | “Average booking”: revenue divided by the number of counted bookings in that currency. |
| Collected | Money actually received in the period, less refunds paid out in it, from the payments ledger. It goes by the date of each payment, whenever the rental itself happens. Only completed payments count. | “Payments received in these days, less refunds” |
| Bookings | How many counted bookings were picked up in the period. | “x days on average”: rental days divided by bookings. |
| Utilisation | The share of the fleet’s time that cars were out on rent. See below. | “Across x cars” |
| Cancellation rate | Cancelled and no-show bookings, divided by those plus the counted bookings, all by pickup date. | “x cancelled or no-show” |
Revenue and Collected answer different questions, so they rarely match. Revenue is business booked for rentals that start in the period. Collected is cash in during the period: a part payment made today for a rental next month is in today’s Collected and in next month’s Revenue.
Rental days are each booking’s billable days, the same number it was charged for.
Utilisation
Utilisation is the time cars were rented out inside the period, measured against the time the fleet could have been rented:
rented minutes inside the period / (number of cars x minutes in the period)
- A rental counts from its pickup time to its return time. A rental that starts before the period or ends after it counts only for the part inside it.
- The fleet is your published vehicles as they are today. There is no history of when a car joined or left, so a car added part-way through counts as available for the whole period. For a growing fleet this makes utilisation look lower than it was. The screen says so under the table.
- Utilisation never shows above 100%.
Charts and the model table
| Section | Shows |
|---|---|
| Revenue by pickup day | A bar for each day of the period. A day with no pickups is a real zero, not a gap in the data. “No bookings were picked up in these days.” when the period is empty. |
| Revenue by vehicle model | Each model’s revenue, highest first. |
| Revenue by pickup location | Each location’s revenue, highest first. |
| Vehicle models | A table with Vehicle model, Bookings, Rental days, Revenue, Cars and Utilisation for each model. |
The Vehicle models table also lists models that have cars but no bookings in the period, with 0 bookings. Those idle models are often the most useful row on the screen. A model or location that has since been deleted is shown as “Deleted (#12)”.
Export CSV on the table downloads it as
rentals-by-model-<from>-<to>.csv, with the revenue column headed by its
currency. Names that start with =, +, - or @ are prefixed with a quote
so a spreadsheet does not treat them as formulas.
More than one currency
With Currencies PRO on, a customer can be charged in another currency, and the booking’s total is stored in that currency. Money in two currencies is never added together.
When the period has money in more than one currency, a Money shown in row appears with a button for each. Pick one to see Revenue, Collected, Average booking, the charts and the table’s revenue in that currency only. The note beside it reads: “Revenue counts only bookings charged in this currency. Booking counts and utilisation include all of them.”
Your store currency is always listed first and is the one shown by default.
Questions
Why is a booking I took today missing? Bookings are placed by pickup date. A booking made today for a rental next month appears in next month’s report.
Why is Revenue different from what I have been paid? Revenue is the totals of the rentals that start in the period, paid or not. What has been paid is Collected, which counts every completed payment whatever the booking’s status. Pending bookings are not in Revenue, and with several currencies only the chosen one is added up.
Do refunds lower Revenue? No. Revenue is the bookings’ totals. Refunds lower Collected, on the day they are paid out. Cancelling a booking moves it out of Revenue and into the cancellation rate.
